The Planning Process — From Inquiry to Wedding Day

Submit an inquiry at djdayve.com. The form takes about two minutes and covers the basics: your date, venue, event type, start and end times, and a sense of the vibe you’re going for. Once submitted, you’ll receive an immediate text acknowledgment, and DJ Dayve’s team will follow up — typically the same day — to confirm availability and next steps.

Same day, often within hours. Responsiveness is one of the things clients consistently mention in reviews — DJ Dayve has been called the most responsive and organized of all wedding vendors. If you submit an inquiry in the morning, expect to hear back before end of day. If your date is available, you’ll receive both an email with a full promo kit and a personal text follow-up.

You’ll receive an email with DJ Dayve’s full promo kit — a PDF that walks through services, experience, and what to expect –and a link to book a complimentary video call consultation to walk through your vision, music preferences, timeline, and any add-ons like ceremony audio, uplighting, special effects, or performers. At the end of the call, you’ll build a formal quote together that details the fees that apply. Once the call is complete, you’ll have 72 hours to make a decision on booking or releasing the date.

The consultation is a full walkthrough of DJ Dayve’s services and music planning process — not just a sales call. DJ Dayve will cover your ceremony music preferences (processionals, recessional, any live musicians or performers), cocktail hour vibe, reception flow and timeline, must-play and do-not-play lists, special moments (first dance, parent dances, cake cutting, grand entrance), special effects options, and any other details specific to your venue or guest mix. You’ll get a clear sense of how DJ Dayve leads the musical energy of your evening.

After the consultation, music and timeline details are refined through a structured planning process — typically via email and a shared planning document. You’ll confirm the specific songs for key moments, provide a do-not-play list, and share any playlist or vibe references. Every couple then gets to review their full playlist ahead of the wedding date to align on expectations and make any final adjustments before anything is set in stone. A final check-in closer to the wedding confirms the timeline, locks in last-minute changes, and ensures coordination with your venue and other vendors. Everything is finalized before the wedding day — you will not be making music decisions the night of your reception.

Vendor coordination is a standard part of DJ Dayve’s process. He works with your planner (if you have one) to align on the timeline and cue structure, coordinates with your photographer and videographer on key moment timing (grand entrance lighting, first dance cues, etc.), and checks in with your venue contact about setup access, power requirements, and noise ordinances if applicable. You do not need to relay messages back and forth — DJ Dayve communicates directly with your vendor team.

DJ Dayve arrives well in advance of your event start time — typically 4-5 hours before guests arrive — to set up equipment, run cable, and conduct a full sound and visual check. If ceremony audio is included, wireless microphones are tested with your officiant and musicians 30-60 minutes before the prelude begins. By the time your guests walk in, everything is dialed in, tested, and ready.

On the wedding day, DJ Dayve manages the full audio and entertainment arc of your event — from the first note of the processional to the last song of the night. This includes ceremony audio, cocktail hour music, all reception announcements and introductions, the formal dance set, open dancing, any special effects moments, coordination with performers if booked, and the final exit. DJ Dayve also tracks the timeline and gives gentle cues to your planner or venue coordinator to keep the evening flowing on schedule.

The inquiry is submitted online, availability is confirmed by text and email, the consultation happens over video call, music planning is handled through a shared digital document, and all contracts and deposits are processed electronically. For Southwest Florida weddings, booking 12 to 18 months in advance is strongly recommended — especially for peak season dates between October and April, which fill quickly. Saturday evenings in season are the first to go. The best way to secure your date is to submit an inquiry and check availability as soon as your venue is confirmed.

Yes. Ceremony audio is available, including a dedicated sound system and both lavalier (lapel) and handheld wireless microphones as needed — for your officiant, readers, or anyone speaking during the ceremony. Pristine playback for processional, recessional, and any additional ceremony music is included. Yes. LED uplighting is available to transform your venue’s atmosphere and match your wedding color palette. Yes — and it is comprehensive. DJ Dayve arrives at every event with two laptops, multiple redundant hard drives, backup speakers, and spare lights. Audio failures are exceedingly rare, but when you are responsible for the soundtrack to one of the most important nights of someone’s life, redundancy is not optional — it is standard practice. If something fails, a backup is already on site and the switch is seamless. You will not be left in silence.

With experience — and the right equipment for the environment. Outdoor receptions in Southwest Florida often come with venue-imposed volume limits or local noise ordinances, especially at beachside properties, private estates, and open-air venues. For outdoor setups, DJ Dayve can provide a white pop-up tent to protect equipment from the elements and ensure a clean, professional presentation. Yes, and it’s encouraged. During the planning process, you’ll have the opportunity to share both the songs you want and the songs you absolutely do not want played. That is entirely up to you. You can specify in advance whether you’d like DJ Dayve to accept guest requests, and whether those requests should be filtered through you or handled at his discretion. Yes. DJ Dayve carries full liability insurance with $2 million per occurrence and $4 million general aggregate coverage. Many of Southwest Florida’s premier venues — including private country clubs, resort properties, and estate venues — require proof of vendor liability insurance before allowing setup on property. DJ Dayve’s coverage exceeds the requirements of virtually every venue in the region, and a certificate of insurance can be provided to your venue coordinator upon request.
